About the Role
As Office Manager & Executive Assistant to the COO – Australia, you will play a pivotal role in keeping our Melbourne Head Office running smoothly while providing trusted, high‑quality support to the Chief Operating Officer and Australian leadership team.
Reporting to the Chief Operating Officer – Australia, this role sits at the centre of our Australian business. You’ll balance hands‑on office management with senior executive support, ensuring priorities are delivered, communication flows seamlessly, and our people and visitors experience professionalism, care and efficiency at every interaction.
This is a dynamic role suited to someone who enjoys variety, takes ownership, and thrives in a fast‑paced, senior stakeholder environment.
Your Day‑to‑Day Will Include:
- Providing executive and administrative support to the COO and Australian leadership team
- Managing the day‑to‑day operations of the Melbourne Head Office Coordinating meetings, travel, diaries and end‑to‑end itineraries (Australia & NZ)
- Preparing and coordinating reports, board papers, presentations and internal communications
- Organising team events, engagement activities, onboarding and offboarding
- Managing office suppliers, contractors, documentation and general administration
- Supporting budgeting, financial administration and internal audit activities
- Delivering ad‑hoc projects with a high level of autonomy
- Contributing to a strong health, safety and wellbeing culture
About You
You’re an experienced Office Manager or Executive Assistant who brings calm, structure and confidence to senior leadership environments. You’re highly organised, proactive and trusted, with a strong sense of ownership and attention to detail.
You’re comfortable juggling competing priorities, building strong relationships, and being the go‑to person who keeps things running behind the scenes.
You’ll Also Bring:
- Medium to advanced Microsoft Office skills, including PowerPoint and presentation visualisation
- Proven experience managing complex travel and accommodation arrangements
- Excellent time management and organisational skills with strong attention to detail
- Strong interpersonal skills and the ability to build relationships across all levels of the business
- Excellent written and verbal communication skills
- A practical, common‑sense approach with a high level of professionalism and discretion
