About our role 

We're looking for a Virtual Support Administrator to support our Village Leadership Teams across the country. This role ensures our onsite teams can focus on what matters most — delivering exceptional care and customer service to our residents. While you handle some of the administration smoothly from behind the scenes, site teams can focus on what matters most — delivering exceptional care and customer service to our residents. 

If you're proactive, tech savvy, customer focused and love bringing calm to busy environments, this could be your perfect role. 

Location of work is negotiable, ideally, you’ll be located nearby to one of our CBD offices in either Auckland, Christchurch or Wellington and will be a mixture of in office and working from home (hybrid). Where required there will also be some travel requirements.

This is a 6-month fixed term position.    

Role responsibilities include but are not limited to: 

  • Deliver friendly, timely and professional responses to residents, visitors, staff and prospects  
  • Manage inbound calls and video enquiries 
  • Manage online diaries, schedules and appointments for Village Leadership Teams  
  • Coordinate communications via phone, email, Teams, video calls and internal systems (SinePro, Lumin)  
  • Set up efficient and scalable processes to support remote administration

About you:

As our national subject matter expert, you will also bring forward the following skills/attributes: 

  • Previous administrative experience, ideally in aged care, retirement living or healthcare  
  • Strong data entry, accounts payable/receivable and debt collection capability  
  • Advanced MS Office skills (Excel, Word, PowerPoint)  
  • Confidence with databases, digital tools and learning new technologies (including AI driven tools) 
  • Experience streamlining processes and improving admin efficiency  
  • Excellent communication skills and a genuine interest in the resident experience  
  • High levels of integrity, reliability and confidentiality  
  • Ability to juggle multiple tasks and pivot quickly when priorities change 
  • Confident user if NS Teams and digital training tools  
  • Commitment to ongoing learning and sector leadership
